Ask every customer for a review when a Google Calendar appointment ends
Put your customer's appointments on a Google Calendar with the customer as a guest, and every appointment that ends sends its guest a review request.
Connect your tools › Google Calendar · Checked against the vendors' own documentation on October 16, 2026.
What you need
- A GossipGarden account with your business and review link set up, and your private address from Settings › Connect.
- A Zapier plan with Webhooks by Zapier.
- Appointments that have the customer as a guest. Google Calendar has no phone field, and an event with no guest carries no email address.
Your private address. Every account has one. Find it in GossipGarden under Settings › Connect and copy it from there. It ends in 22 letters and numbers, and anyone who has it can add customers to your account, so keep it private. If it leaks, make a new one on the same page and the old one stops working at once.
Set it up
Zapier checks the calendar every few minutes for events that have ended.
- Start the Zap with Google Calendar
Choose Google Calendar as the trigger app and Event Ended as the event. Choose the calendar your customer appointments are on, and test the trigger.
- Add Webhooks by Zapier, POST
Choose Webhooks by Zapier and the POST event. Paste your private address as the URL and set Payload Type to JSON. The Zapier guide has the detail.
- Map the fields
Fill in Data with the rows below, picking each value from the Google Calendar step. Zapier shows the exact names; pick the field that holds the same thing.
- Test, then look in GossipGarden
Test the step with an event that has a customer as a guest. An answer of 202 with status created means the guest is in. Then open Settings › Connect to see it listed, and turn the Zap on.
What to send
Add one row per field, with the name on the left exactly as written and the matching value from the earlier step on the right. Only an email address or a phone number is required.
| Name | Choose | Why |
|---|---|---|
| The field that holds the guests' email addresses (Zapier shows it as Attendee Emails or similar). | If the event lists several guests, you included, we use the first address that isn't yours. | |
| name | The guest's name if the trigger offers one; otherwise leave this row out. | Google keeps a guest's name only when it is known; without one the email address stands in. |
| external_id | The field that holds the event's ID. | A customer is asked once for each event, however often Zapier sends it. |
| source | Type google-calendar. | Names the tool in Recent customers received. |

If it doesn't work
- Every event on the calendar is being sent, including team meetings.
- The Zap sends every event that ends on the calendar you chose. Use a calendar just for customer appointments. An event with no guest but you is refused (“Not added — that's your own email address”), so internal meetings never ask anyone.
- The customer has no email address on the event.
- Then there is nothing to send. Add the customer as a guest when you book the appointment, or put it on the calendar from a booking tool that does.
- Can it text the customer?
- No. Google Calendar events have no phone field. Use a tool that does, such as Calendly or your field-service software.
Every customer this sends is asked exactly like one you type in: the same ask, to everyone, never twice for the same job. Nothing in this guide, in the address or in GossipGarden looks at how the visit went, and you shouldn't filter on it either: asking only the happy customers is review gating, which Google and the FTC prohibit. What review gating is and why it matters.
